GUIDELINES FOR ZONAL CHAPTER

 

 

Participation

All the members of the Society can attend the Zonal Meeting and participate in the symposium. Non-members can also participate subject to their registration as Associate Member, for which they have to pay a sum of Rs. 500.00 as fee. Associate members are not eligible for getting the journal Indian Phytopathology as well as publications for their research papers in the journal.

  • Admission fee (For new members only): Rs. 100.00 (Rs. One Hundred only)
  • Annual Membership: Rs. 1500.00 (Rs. One Thousand Five Hundred only)
  • Annual Student Membership: Rs. 1000.00 (Rs. One Thousand only)
  • Life Membership fee: Rs. 12,000.00 (Rs. Twelve thousand only)

 

(Life Membership can be paid in maximum of two instalments within the financial year.  GST @18% is applicable on all membership/registration fees). Membership fee collected will not be utilized by the Zonal Chapter. It will be deposited to Indian Phytopathological Society HQ at Delhi.

 

Details of the meeting (venue, dates, deadline for paper submission, symposium topic etc.) should reach HQ by the end of April, so that it can be included in the First Circular for National Meeting. All Zonal Meetings should be organized before the Annual Meeting of the Society.

Zonal President and Councillor are paid II class AC rail fare + Rs. 500/- DA (Subject to a total of Rs. 2500/-) for attending the Annual Meeting of the Society. This is also applicable for mid-term E.C. Meeting, if not claimed from any other sources.

 

Prof. M.J. Narasimhan Merit Academic Award

Zonal Chapter should organize a contest among the zonal members during their Zonal Chapter’s Meeting for preliminary selection of contestants. Only two names from each Zonal Chapter will be recommended by Zonal President for final contest to be held during Annual Meeting of the Society. The age limit for the contestant would be 35 years. Selected contestant will provide an abstract upto 200 words alongwith brief biodata to the Secretary, Indian Phytopathological Society through Zonal President. Abstracts of all the contestants participating in the Annual Meeting will be published in the journal. Society will award a medal to Award recipient and Commendation Certificate to other contestants. Society will publish the paper of awardee. The award recipient will submit full-length paper (as per IPS guidelines) for its publication in Indian Phytopathology. There is no restriction of the age of co-author, if any. The paper should be submitted on floppy alongwith a hard copy.

All the contestant/recipients should be the member of the Society during the year of presentation. Associate Members are not eligible for contest. The certificate for award will be given only to the person presenting the paper. The contestants will have to give the under mentioned certificate furnishing the age proof and bonafide work done by the contestant, not presented & published earlier.

The following are the rules and regulations for the awards 

1.  The award will be given to the best paper presented at Annual Meeting of IPS. 

2. All the contestants/recipients must be member of the IPS and under the age of 35 years. 

3. The awards will be judged by a committee appointed for the purpose and their decision will be final. 

4.  The certificate for the award will be given only to the person presenting the papers.

5. The recipient of an award will be consider for subsequent awards only after a lapse of two years. 

6. If the work presented relates to a thesis or award of any degree the concerned student should present the work and not the guide even though he/she may also be below the age of 35 years. 

7.  Preference would be given to work carried out under Indian conditions. 

8. The time for the award shall be 15 minutes. 

 

APS Travels Sponsorship for Ph.D. Students

APS Travel Sponsorship for Students has been instituted. The purpose of this award is to encourage plant pathology students pursuing a doctoral degree in India, who are members of IPS, to attend the APS Annual Meeting or other APS sanctioned meeting if deemed appropriate by the Indian Phytopathology Society and APS Foundation Board. The award has been established with contributions from Plant Pathologists of Indian Origin. Students will compete at the zonal competitions in India, and the awardee will be chosen from the top student presenters at these zonal competitions. The fund will reimburse the awardee for return airfare from India to the meeting venue, accommodation, and incidentals. The awardee is expected to bear the cost of meeting registration.

 

The terms and conditions for participating in APS meeting is as follows:

1.  The fund will reimburse the awardee directly by APS for return airfare from India to the meeting venue, accommodation and incidentals. 

2.  The awardee is expected to bear the cost of meeting registration. 

3. There will be no financial liability of the IPS. 

4.  All the contestant/recipients should be the member of the Society during the year of presentation.

5.  The contestants will have to give a brief biodata, the certificate furnishing the age proof and proof of pursuing Ph.D. (First to Third year only) and one page a short paragraph, stating how participation in the APS meeting will lead toward achievement of their professional goals.

6. The award will be given to the best paper presented at Annual Meeting of IPS. 

7. The awards will be judged by a committee appointed for the purpose and their decision will be final. 

8.  The award will be given only to the Ph.D. Student presenting the paper.

9. The time for the award shall be 15 minutes. 

10. In service candidates are not eligible for this APS travel award

 

Important Note: All the contestant/recipients should be the member of the Society during the year of presentation. Associate Members are not eligible for contest. The contestants will have to give a brief biodata the certificate furnishing the age proof and proof of pursuing Ph.D. (First to Third year only) and one page a short paragraph stating how participation in the APS meeting will lead toward achievement of their professional goals.

 

S. Nagarajan - IPS Travel Sponsorship for Ph.D. Students

Purpose of the Award   

(i) This award shall be considered as human resource development for the future of plant pathology in the country.

(ii) The Society provides travel sponsorship to eight Ph.D. pursuing students, one each from eight zones of IPS, to promote their participation in Annual Meeting and National Symposium of the Society in India, as per terms and conditions given below.

 

Periodicity and Value of the Award        

(i) The Award is annual to attend the annual meeting of IPS from eight Zonal Chapters.

(ii) This consists of “To and fro 3rd AC train fare “by shortest route on production of proof of travel. 

(iii) Waving off of the registration fee. 

 

Conditions of the Award             

(i) The candidate should be below 30 years of age. 

(ii) The candidate should be a member of IPS prior to the selection by the Zonal chapter

(iii) In service candidates, and candidate getting fellowship from any sources, are not eligible 

(iv) Certificate of major adviser countersigned by Head of the Department/Institute shall accompany the recommendation from the Zonal chapter.

 

Eligibility of the Award

A student member of the Society pursuing PhD degree in Plant Pathology from eight zones. 

 

Selection of candidates and conditions for the award    

(i) It is to encourage young researchers to participate in the national events of IPS from all the eight zones of the country.

(ii) The selection shall be made by the Zonal president and Zonal Councilor in consultation with the department where the student is pursuing PhD based on the information/documents submitted with application to the Zonal President.

(iii) The contest shall be in the form of presentation for ten (8+2min) before a jury of three members appointed by the Zonal President and Secretary. The candidate shall present for eight minutes and answer questions for two minutes. The decision of the jury shall be final.

(iv) Normally, second- or third-year student is preferred as there should be substantial research data to present in the annual meeting.

(v) The recommendations from the Zonal Chapters may be sent to the Secretary IPS for including in the programme.

(vi) The applicant for travel grant for IPS Annual meeting shall not be economically sound or employed anywhere or receive travel grant from other sources.

(vii) The contestant for this travel sponsorship for IPS annual meeting shall not contest for any other contest that year conducted by IPS. This is to avoid students trying for multiple awards in the same year and to promote “one person one award” concept.    

 

Administration of the Sponsorship         

The concerned Zonal chapters of the society shall send nominations and shall be accepted by the Secretary IPS/ Executive committee of IPS.

 

Presentation by the students    

(i) The Annual meeting Technical papers screening committee may accommodate the eight candidates receiving travel sponsorship either in oral/ poster session.

(ii) Each of the students nominated from the zones shall make a presentation (oral/poster) in the relevant technical sessions.

(iii)  Presentation is compulsory to claim the travel sponsorship.

 

Finance & Accounts

The Zonal President and Councillor shall have to generate their own funds for conducting their zonal Chapter Meeting. The Zonal Chapters are requested to raise funds, required to continue the timely publication of the journal and to meet editorial expenses. It was discussed and approved in the 63rd Annual General Body Meeting held on Dec.14, 2010, that “Minimum 10% of the registration fee and the unspent balance amount generated during the zonal symposium be returned to the Society for the improvement of the activities of the Society”. The assistance received will be duly acknowledged in the forth-coming national symposium and audited account of the Society. The audited statement of the Income and Expenditure Account of the zonal symposium be submitted to IPS HQ by the end of the February.  

The Society's account will be used for any kind of financial transactions for organizing the zonal symposium (registration fee, sponsorship, financial assistance, membership fee). The below-given bank details and registration fee information has to be included in the circular of the symposium. The payment of the expenditures incurred in the symposia will be made by the IPS HQ after submission of the bills and it should be noted that the expenditures should not exceed over the receipts.
